IT Procurement Specialist, 1. image

Operational procurement role focused on day-to-day execution, cross-functional coordination, and procurement project support. Acts as the operational link between SMEs (Legal, HR, IT, Security) and internal stakeholders, ensuring procurement and sourcing process run smoothly from intake to contracting phase.

YOUR TASKS

  • Maintain and update the contract repository, registry, and database
  • Maintain and update the savings tracker
  • Follow up on active procurement projects and ensure timely progress
  • Drive sourcing projects post-onboarding (renewals, re-negotiations, transitions)
  • Run sourcing projects end-to-end (RFI/RFP coordination, vendor comparison, stakeholder alignment)
  • Negotiate contract terms and pricing with vendors, escalating to Head of Procurement / Head of Finance where needed
  • Review contracts for completeness, standard terms, and flagging deviations
  • Coordinate communication flow between SMEs (Legal, HR, IT, Security) and business stakeholders
  • Apply knowledge of savings methodologies (cost avoidance, hard savings, rebates, etc.) consistently in reporting

YOUR PROFILE

Experience & Domain Knowledge

  • Prior experience in procurement, contract administration, or vendor management (SaaS/software environment preferred)
  • Understanding of savings types (hard savings, cost avoidance, soft savings) and how to classify/report them correctly

 

Technical & Tools

  • Comfortable using AI tools to support daily tasks (research, drafting, data structuring)
  • Strong Excel/data handling skills (given database and tracker responsibilities)

 

Soft Skills

  • Fast learner, able to pick up new tools/processes independently
  • "Will do" / proactive attitude - takes ownership of follow-ups without heavy oversight
  • Strong attention to detail and comfort working with numbers
  • Negotiation skills - able to support contract discussions with vendors
  • Persuasive communication - able to align internal stakeholders and SMEs

 

Language

  • English: B2+ mandatory
  • German: nice to have/ advantage
